Changing the Reply-To: email Address

List owners can control how reply emails are sent:  The Mailing List server will rewrite the “Reply-To:” SMTP header in the message to:  the list, the sender, or any email address defined by the owner.

Setting Location:

(Admin) > Edit List Config > Sending /receiving setup – Reply address

Default Behavior

The default setting is configured to preserve the existing reply-to: header which is the sender’s email.

Figure 1:  Default setting

Different email clients handle reply and reply-all differently:

Outlook

  • Reply                   replies to sender
  • Reply-all               replies to sender

Hotmail

  • Reply                   replies to sender
  • Reply-all               replies to sender

Gmail

  • Reply                   replies to sender
  • Reply-all               replies to sender and mail list

Yahoo

  • Reply                   replies to sender
  • Reply-all               replies to sender and mail list

Change the reply-to: to the mail list address

Note: Some email clients don’t create a reply-to header when they send email, it’s an optional header field.  .  The Campus Mailing List server will only change an existing reply-to: field, it will NOT create a reply-to if it doesn’t exist.   That said, you can modify an existing reply-to header to change the behavior of email replies.

The default settings are sender and preserve existing value.  There are four options for the value field:

  1. all = reply to: the sender and list
  2. list = reply to: the list
  3. other = reply to:  the email address defined in “other email address” field.
  4. sender = reply to: the sender only

The “respect of existing header field”

  1. preserves the original reply-to field from the sender
  2. Overwrite Reply-To:  the server will force an overwrite of the reply-to field based on your above value setting.
